What the Fleet Maintenance Tracker does
Service reminders by date or mileage
Set the next due date or odometer reading on any service. The dashboard flags it as due soon or overdue automatically.
Document expiry alerts
Insurance, registration, taxi and livery permits and inspections, each with a countdown and an expired warning.
Fuel log and fuel economy
Record fill-ups and see fuel spend per month and miles per gallon (or km per litre) for every vehicle.
Fleet health score
One score from 0 to 100 that drops when services are overdue, documents expire or cars are off the road.
Cost reports
Monthly maintenance and fuel costs, spend by service type and totals per vehicle. Print or export to CSV.
Backup and restore
Download your data as a backup file and restore it on any computer. Your data never leaves your browser.
Get started in 5 steps
- 1Add your vehicles
Enter each car with its unit number, plate and current odometer. Or click “Load sample data” to explore first.
- 2Log past services
Add the last oil change, tyres and inspection for each vehicle, with the next due date or mileage.
- 3Add documents
Enter insurance, registration and permit expiry dates so you get warnings in time.
- 4Record fuel
Add fill-ups with the odometer reading to track fuel cost and economy.
- 5Check the dashboard and back up
Open the dashboard each week, deal with anything red, and download a backup.
Why taxi fleets need a maintenance tracker
Taxi and private hire vehicles cover far more miles than private cars. A car doing 250 miles a shift can need an oil change every three to four weeks, brakes every few months and tyres several times a year. Miss one and you pay twice: once for the bigger repair, and again for the shifts the car spends off the road.
Most small operators keep this in a notebook, a whiteboard or the driver's memory. That works with two cars. With ten, something always slips, usually an inspection or an insurance renewal, which can stop a car from working legally.
How service reminders work
Every time you log a service, add when it is next due: a date, an odometer reading, or both. The tracker looks at the latest service of each type for each vehicle and compares it with today's date and the vehicle's current odometer. Anything within 14 days or 500 miles is marked due soon; anything past is marked overdue. When you log a fuel entry or service with a higher odometer reading, the vehicle's mileage updates automatically.
Keeping documents legal
Licensing authorities in the US, UK, Canada and Australia all require valid insurance, registration and, in most cities, a taxi or private hire vehicle licence. The tracker warns you 30 days before any document expires and shows expired documents in red, so you have time to renew before a car has to stop working.
Understanding your running costs
The reports tab shows your maintenance and fuel spend for the last six months, which service types cost the most and the total cost of each vehicle. If one car costs far more than the others, it may be time to replace it. The fuel economy chart helps you spot a car that suddenly uses more fuel, which is often an early sign of a mechanical problem.
Is my data safe?
Your data is stored only in your own web browser on this device. Nothing is uploaded to Swiss Cab Dispatch or anyone else. Because of that, clearing your browser data will delete it, so use Download backup regularly. To move to another computer, download a backup and restore it there.
Fleet Maintenance Tracker: questions and answers
Is the Fleet Maintenance Tracker really free?
Yes. There is no subscription, no trial period and no account. Everything runs in your browser.
Where is my data stored?
Only in your own browser on this device, using local storage. We never see it. Download a backup regularly so you don't lose it if you clear your browser.
Can I use it on my phone?
Yes. It works on phones, tablets and computers. Data is saved per device and browser, so use backup and restore to move it between devices.
Can more than one person use the same data?
Not live. Each browser keeps its own copy. You can share a backup file with a colleague, who can restore it on their computer.
Does it work in kilometres and other currencies?
Yes. Choose miles or kilometres and $, £, C$, A$ or € at the top of the tracker.
Can I export my data to Excel?
Yes. Every list has an Export CSV button, and CSV files open in Excel and Google Sheets.
How are service reminders calculated?
From the latest service of each type for each vehicle. If you enter a next due date or next due odometer, the tracker compares it with today's date and the vehicle's current mileage.
